Every farm needs the answer to "who can do what". SimplyPrint ships with two starter groups - Administrator and Operator - and lets you create unlimited custom groups (Shift lead, External contractor, Service technician, Sales engineer, whatever your operation calls them).

Each group binds to a permission matrix of 168 permissions organised into 8 categories: Printing, Print Queue, Slicer, Courses, Filament System, Users, Organisation Management and Maintenance. Search by keyword, expand a single category, compare two groups side-by-side to spot the differences, or baseline a new custom group against an existing one. Reassign all members when you delete a group - no orphaned users, no broken permission chains.

Invite operators by direct email or by shared link

Two invite paths fit two operational realities. Direct email invites pre-assign group, language and locale, then let the user accept on their own time. Invite links are great for hiring waves and contractor onboarding: generate a link tied to a specific user group ("Operators"), set an expiry, send it out, and every accepted invite lands in the right group automatically. Same controls apply to both: existing users can't be re-invited by accident, and every invite is logged in the company audit log.

One users table for the whole operation

Every member of your farm or enterprise lives on the Users page: search, filter by group, sort by joined date or last seen, expand a row for the full detail card, and act on a user (manage quota, change group, disable, remove, resend invite) from the row actions. Bulk actions for multi-user changes: bulk-change group, bulk-reset quotas, bulk-disable. Export the full list to CSV for HR or compliance with one click.

Balance in usage-tracking mode: never blocks a print, always logs the cost

The balance system is on the School and Enterprise plans. Enterprise farms typically run it in Usage tracking mode rather than Enforced mode: every print writes a cost transaction against the user (and by extension, the user's group / department / client), but it never refuses a print. The result is a clean ledger that finance and billing systems can pull from for departmental chargeback, customer invoicing, or PaperCut-style integrations.

Pick Enforced mode when the print should be blocked until balance covers it, or Usage tracking mode when you just want a clean ledger for invoicing. Auto-refill on a daily, weekly, monthly or custom-day cadence keeps internal accounts whole. Discount rules with optional start and end dates handle promotional pricing. Every balance event - charge, refund, refill, adjustment - emits a webhook your existing systems can consume.

Feature unlocks: progressive onboarding for new operators

Don't give a brand-new contractor the keys to the printer farm on day one. Feature unlocks let you progressively grant permissions instead. Build rules that grant a feature when a user:

  • Completes one or more Academy courses ("How to safely operate a 3D printer", "Filament basics")
  • Has been signed up for a configured number of days
  • Has completed a configured number of successful prints
Combine triggers, target a specific user group, and the system handles the rest. Feature unlocks are included on the Print Farm, School and Enterprise plans.

API and MCP access for the systems already running your operation

The most successful print farms on SimplyPrint integrate it with whatever they're already running. One customer built a ShipStation auto-queue integration so e-commerce orders automatically land on the production queue. Another routes filament-usage events into their accounting system. We've shipped both an enhanced API (Print Farm+) and an MCP server (Pro+) so your AI tooling can drive printers, reorder filament, approve queue items and pull statistics directly.

OAuth2 with PKCE handles third-party integrations (Zapier, n8n, Make, your custom apps). Webhooks fire on every balance change, quota event, print state transition, queue submission and AutoPrint action. Everything documented at apidocs.simplyprint.io and the MCP server registry.

SAML single sign-on, IP whitelisting and required 2FA on Enterprise

Enterprise IT teams almost always run a vendor review before adding a tool. SimplyPrint clears the standard checklist:

  • SAML 2.0 SSO - Google Workspace, Microsoft Entra ID, Auth0, Federation-based SAML, any SAML 2.0 IdP. Attribute mapping for first name, last name, email and group assignment, plus auto-import on first login into a default group of your choice.
  • IP whitelisting - lock panel access to your corporate ranges.
  • Required 2FA for all members (Enterprise plan).
  • In-product Data Processing Agreement - sign the DPA from inside the panel.

Company audit log, DPA signing and the paperwork your security team will ask for

Security-related settings - the full company audit log with export, panel IP restrictions, required 2FA enforcement, the in-product Data Processing Agreement and support access approval - all live in the Data and security area, linked straight from the Organisation tab. The Hub: a kiosk-style page for the shop floor

Your account gets a dedicated public-facing Hub at simplyprint.io/hub/{your-organisation-id} - a stripped-down printer-room interface meant for a wall-mounted display or floor terminal. Same logins as the main panel, way less to click through. Lock it to specific IPs or approved computers so only the shop terminal can reach it, toggle dark mode, redirect new signups straight to the Hub, and pick remember-me sessions for staff or auto-logout for shared shift terminals.

Which farm and enterprise features come on which plan

Multi-user collaboration, the Hub, custom fields, feature unlocks and webhooks come in on the Print Farm plan. Queue approval, the quota and balance system, SSO, the audit log and the in-product DPA are reserved for the School and Enterprise plans where shared-printer operations need the most control. Required 2FA enforcement, audit-log export and the SLA uptime guarantee are Enterprise only.

Frequently asked questions

Same underlying platform - this page just describes the bits that come in when you add operators, contractors, departments and IT-team requirements. A solo Pro-plan user doesn't need user groups, balance, SSO or an audit log; a 30-printer farm with five operators and a finance department does. The Print Farm plan covers most of that; SSO, quotas, audit log and the SLA are on Enterprise.
Yes - that's the canonical use case. Set balance mode to Usage tracking, configure your cost model under the per-printer settings, and every print writes a cost transaction against the submitter. Pipe the resulting balance events into your billing system via webhooks. Discount rules with optional start and end dates handle promotional pricing. Self-service top-up via Stripe Connect is in the UI as a coming-soon preview.

Each SimplyPrint account is one organisation. Multi-site operations typically run one account per region or one account per business unit and use the API to aggregate.
